The Basic Sciences Division is one of six scientific Divisions at Fred Hutch and is comprised of 30 faculty-led laboratories whose research is focused on understanding the normal molecular functioning of cells as well as the disruption that causes cancer and infectious diseases.
The Division is recruiting a Project Coordinator I. The Project Coordinator will work closely with Division administration leads, Research Administrators, and central administration partners to provide division operations administrative support. This position will serve as coordinator for various general administrative tasks and is an ideal opportunity for someone that enjoys collaborative work, has great organization and communication skills, excellent attention to detail, and an interest in supporting research.
Responsibilities
General job responsibilities:
- Assist with procurement of goods and services to support division operations
- Process reimbursement requests for travel and other expenses
- Travel arrangement support and coordination
- Building bulletin board curation and management
- Mailing list maintenance, physical mail sorting, and processing mailstop changes
- Submitting Facilities work orders for building and/or equipment related requests
- Coordination of building emergency-related processes and tasks
- Back-up support for division space and facilities operations
- Triage incoming requests for central division operation inbox
- Team building activities planning and facilitation
- Central calendar management and updates
- Purchasing card expense reconciliation and management for division
- Billing support for shared division expenses
- Basic personnel onboarding and offboarding tasks
- Maintain up-to-date division personnel lists
- Website updates
- Update membership to Division Microsoft Teams site
- Support non-exempt employees time sheet reporting
- Clerical aspects of pre and post award activities as directed, such as gathering documents, assisting with completion of content, acquiring signatures and formatting content
- Facilitate updates to faculty CVs
- Other duties as assigned

Qualifications
MINIMUM QUALIFICATIONS:
- BA/BS in related field or equivalent experience required
- Minimum of one year post-master's or three years post-bachelor's project coordination experience in a research setting
- Strong written and oral communication skills
PREFERRED QUALIFICATIONS:
- Demonstrated initiative: Self-motivated and proactive approach to work
- Customer service orientation (ability to provide excellent customer service to internal and external stakeholders)
- Adept with Microsoft Office (Word, Excel)
- Experience with website editing, Adobe Experience Manager
- Experience using Microsoft Teams
- Affinity towards process improvement and adoption
- Skilled at managing multiple communication streams in a timely and organized manner
- Demonstrate a strong attention to detail
- Demonstratable experience with successful planning, organizing, and prioritizing your work
- Ability to navigate complex internal systems and departments
- Interest in working on process improvement with team
- Ability to complete tasks within assigned deadlines
- Exercise independent judgment and make appropriate decisions
- Enjoy learning new systems and skills and adapt quickly to evolving work priorities and demands
- Professional demeanor and a sense of humor
- Maintain regular work hours

The hourly pay range for this position is from $31.21 to $46.80 and pay offered will be based on experience and qualifications.
