The Division of Human Biology is seeking an Administrative Coordinator II with experience in a research setting to manage the day-to-day research activities and special events for the Prostate Cancer Program (PCP) and the NCI-supported PNW Prostate Cancer Sponsored Program of Research Excellence (Prostate SPORE). This position reports directly to the senior Research Administrator and PCP Director, works closely with a variety of faculty and staff (both internal and external), and will independently perform functions necessary to the operations of the Prostate Cancer Program, referring issues on as appropriate. Excellent judgement in interpreting policy, maintaining confidentiality, and representing the Program and/or Director are essential, and will be necessary in coordinating administrative activities and carrying out complex assignments.
Responsibilities
Administration & Operations:
- Represent the Prostate Cancer Program and Director to various individuals and organizations.
- Coordinate research and administrative activities, to ensure projects are completed according to Program timelines
- Gather and compile data as requested by Programmatic leadership for use in manuscripts, reports, presentations, and other materials.
- Assist in the development and administration of policies and procedures to ensure smooth operations of the PCP/Prostate SPORE
- Arrange and coordinate complex conference and meeting/travel schedules for internal and external scientific collaborators
- Arrange travel and process honorariums and travel related reimbursement requests
- Reconcile Procard statements for all cardholders, including the collection of required receipts, monitoring charges for allowability, allocating to appropriate budgets, processing in the online system and sending receipts to accounting department.
- Coordinate, track, and report the submission of Prostate Cancer Program publications to NIHMS/PubMed Central as needed; ensure all publications resulting from sponsored support are compliant with the NIH Public Access Policy.
- Update and maintain Programmatic websites
- Order lab supplies for the labs associated with the Program; maintain and update purchase orders for shared lab equipment, consumables, and Programmatic service contracts.
- Perform other duties as assigned
Human Resources:
- In conjunction with Programmatic leadership, coordinate and manage faculty and other personnel recruitment efforts for the Program.
- Work with senior Research Administrator to maintain non-employee records and assist with onboarding of new employees.
Events Planning & Coordination:
- Attend Prostate SPORE Executive Committee meetings, monitor activities to ensure objectives have been met within designated timeframe, and coordinate follow-up activities
- Organize weekly Genitourinary Oncology Seminar Series
- Plan and execute the SPORE Annual EAB/IAB Meeting
- Coordinate and execute additional special projects and conferences (virtual and in-person) related to the ongoing activities of the Prostate Cancer Program
- The position requires full-time on-site work at the FredHutch South Lake Union campus.
Qualifications
MINIMUM QUALIFICATIONS:
- Requires High School/GED and six years of administrative or relevant experience OR equivalent education/experience.
- Strong organizational skills and event planning knowledge
- Strong computer and word processing skills
- Proficiency with a variety of software packages, including virtual meeting software, Microsoft Office tools
PREFERRED QUALIFICATIONS:
- Bachelor's degree.
- Experience in biomedical research - laboratory and/or clinical - is desirable but not essential.
- Experience in scientific writing that may include scientific manuscripts or grant submissions is desirable but not essential.
- Experience submitting and managing human subjects research protocols is desirable but not essential.
- Excellent written and verbal communication skills

The hourly pay range for this position is from $32.77 to $49.14 and pay offered will be based on experience and qualifications.
